Air Assist Pro ("Air Assist Pro," "we," "our," or "the Service") is an aviation mobility management platform that helps airport service teams, airline personnel, managers, and agents coordinate passenger assistance. This Privacy Policy explains what information we collect, how we use it, and the choices you have.
By using Air Assist Pro, you agree to the practices described in this policy.
1. Information We Collect
We collect information that is necessary to provide and coordinate passenger assistance services at airports. The categories of information we collect include:
Account Information
When you are invited to or register for an account, we collect your full name, email address, phone number (for agents and staff), assigned role (e.g., agent, manager, vendor administrator, airline personnel, or system administrator), and your associated vendor or airline organization. This information links you to your organization and determines your access permissions.
Passenger and Service-Request Information
Airline personnel and managers create assistance requests that include passenger names, passenger counts, pickup and drop-off locations, gate numbers, service notes, whether an aisle chair is needed, and consent confirmation. For grouped flight arrivals, we store a list of individual passengers associated with each flight so that multiple agents can be assigned to assist them.
Flight and Airport Operational Information
To provide real-time dispatch, we store flight numbers, scheduled arrival times, estimated arrival times (live ETAs), origin and destination airport codes, gate assignments, boarding times, and flight status. Live estimated arrival times and flight status are retrieved from a third-party flight-tracking provider (AeroDataBox) and are kept separate from the airline-entered scheduled times.
Time, Attendance, and Scheduling Information
For staff time tracking, we record clock-in and clock-out times, break and lunch periods, total minutes worked, and punctuality status. When a staff member clocks in or out, we collect precise GPS coordinates and location accuracy to verify the work location and evaluate any configured airport geofence. While an agent is on duty and actively using the app in the foreground, the app may also send periodic precise-location updates so authorized managers and vendor administrators can view the agent's current operational location. Air Assist Pro does not collect location while the app is running in the background. We also store work schedules, recurring shift patterns, time-off requests, paid time off balances, and shift-swap requests.
Communications and Notifications
We store messages sent between team members (including sender, recipients, message content, and read receipts), system notifications, shift reminders, and AI conversation history for in-app assistant features. The Service can send push notifications to your mobile device when you have the native app installed.
Support and Audit Information
When you submit a support ticket, we store your name, email, issue description, category, device information, and a system snapshot to help diagnose the problem. We maintain audit logs that record who performed actions within the system, what changed, and when.
2. How We Use Your Information
- Coordinating passenger assistance by assigning agents to pickup and arrival requests and tracking request status in real time.
- Authenticating your identity and determining your role-based access to queues, schedules, and management tools.
- Tracking flight arrivals and updating estimated arrival times so teams can prepare for incoming passengers.
- Managing staff schedules, time tracking, time-off requests, and shift swaps.
- Enabling messaging and notifications between team members so assistance is coordinated efficiently.
- Providing AI-assisted support and analysis tools to help managers and administrators operate the service.
- Generating audit trails for accountability and operational review within your organization.
- Responding to support tickets and resolving technical issues.
3. Authentication and Account Security
Account authentication, including login credentials, sessions, and password management, is handled by the Base44 platform on which Air Assist Pro is built. We do not store plaintext passwords. Access to data is controlled by role-based permissions and row-level security rules that restrict each user to the records belonging to their organization. Accounts are created by invitation from an administrator; individuals cannot self-create accounts without approval.
4. How Information May Be Shared
Air Assist Pro is a business tool used within airport service organizations. Your information is shared as follows:
- Within your organization: Managers, vendor administrators, and airline personnel within the same vendor or airline can view and manage requests, schedules, and staff records relevant to their role. Agents can see requests assigned to them.
- System administrators: Platform administrators can access records to support the service, resolve issues, and manage accounts.
- Flight-tracking provider: Flight numbers and service dates are sent to AeroDataBox to retrieve live arrival estimates and flight status. No passenger personal information is sent to this provider.
- AI service provider: Prompts you submit to in-app AI assistants are processed by a language model provider to generate responses. Avoid including sensitive personal data in AI prompts.
- Email and push notification providers: Used to deliver messages, invitations, and mobile notifications to you.
We do not sell your personal information to third parties. We do not use your data for advertising or marketing purposes.
5. Data Security
Access to Air Assist Pro is protected by authenticated sessions and role-based permissions. Each organization's data is isolated using row-level security rules so that users in one vendor or airline cannot access another organization's records. Sensitive configuration such as API keys is stored securely on the server side and is never exposed to the application frontend. Precise GPS coordinates are used for clock-in and clock-out verification, configured geofence validation, and authorized foreground operational visibility while an agent is on duty. Air Assist Pro does not use background location tracking and does not use location information for advertising or third-party tracking.
6. Data Retention and Deletion
We retain information for as long as an account is active and as needed to provide the Service, maintain required payroll and attendance records, protect security, and preserve necessary legal and operational history. Users can permanently delete their personal account directly inside the app by navigating to More → Profile → Account Settings → Delete My Account. The user must type DELETE and confirm permanent deletion. After successful deletion, private records that do not require retention are deleted, precise saved location data and unnecessary personal information are removed, and required payroll, audit, security, and operational records are retained only as necessary and anonymized where appropriate. The deleted account credentials can no longer be used to sign in.
7. Your Privacy Rights
Depending on your location, you may have the right to:
- Request access to the personal information we hold about you.
- Request correction of inaccurate personal information.
- Permanently delete your account directly inside the app, subject to the limited retention of anonymized payroll, legal, security, and operational records described in Section 6.
- Object to or restrict certain processing of your information.
- Withdraw consent where processing is based on consent.
